4 Tips On Taming Your Email

I remember when I was first introduced to email. I was working in a big corporation at the time. I thought it was the neatest thing since sliced bread. I hit a button and the message is sent instantaneously. What could be better? Since then, my feelings towards email are somewhat modified. I still think the technology is great, but I have witnessed too many people getting stressed out by the sheer volume of communications via this medium to know that for some it can sometimes be a curse instead of a blessing. Since none of us is expecting a reduction in the volume of email we will receive, you may find the following tips helpful in helping gain control over your email.

Keep in mind that this article is designed to help you manage your emails related to work. If you do not have separate email accounts for your work and personal life, my very first suggestion is to get that set up right now. There are numerous options for free email accounts. Do yourself a favor and set one up for your personal activities, like shopping on-line, or subscribing to ezines for your outside interests. That way, you won’t waste precious time weeding through the latest sales offers from Amazon while you are trying to concentrate on work.

Tip #1 - Handle each message once if at all possible

Treat the email like a piece of paper. If it is short enough for you to read on the screen, decide what action you need to take to “handle” it. If it was an information only message, then either file it or delete it afterwards. Do not just leave it in your in-box for later because it will take you more time to read it again and figure out what to do.

Unfortunately, a good percentage of the messages I used to get were multi-pages long with multiple attachments. In those cases, I found it very difficult to read the contents on the screen. My suggestion is to print out the entire content and quickly decide if you want to deal with it now or later.

Tip #2 - Don’t be stingy with folders

In order to file a message you want to keep, you have to have a destination for it. The only reason why you want to file something is if you think you want to access the information again. So, the easier it is for you to find it, the more efficient you will be. Create as many folders and sub-folders as you need in order to expedite your search for the information in the future. It will take way less time to find a particular message in a folder with 30 items versus 300 items.

Tip #3 - Don’t be an email pack-rat

Are you someone who saves every message just in case you will need it later? If you are, break yourself of that habit right now! Unless you have to retain documents for compliance reasons, the “just in case” scenario does not happen often enough to warrant the clutter you are creating for yourself. When you surround yourself with clutter, it drains energy from you, and clutters your mind. So, be very selective about what you need to keep. And I will bet you money that if you really needed something that you didn’t keep, you can find another copy (usually from the originator) pretty easily.

Tip #4 - Leave ONLY messages that you need to act on in your “Inbox”

Having an Inbox with hundreds of messages will overwhelm anyone. And being in overwhelm is not going to help your productivity or your mind-set. So, if you still have to read that 10 page email you received, leave it in your Inbox until you have read it and know what you have to do. But if you’ve already read that concise one page message from your boss and answered her question, then either delete it, or move it to a subject folder.

When I was in the corporate world, I had an objective of keeping my Inbox to fewer than 30 items because I know that I would start to feel out-of-control when there are too many items in there. And I would feel very proud of myself when I get the list to 15 or fewer because that meant that I was very close to getting “caught up”.

Write A Personal Letter To Make Your Customers Fall In Love With Your Business

There is nothing quite like a personal letter for getting someone’s undivided attention. Even as a business tool, this often overlooked, very simple approach can be very powerful.

A personal letter can be a short one-page letter that introduces your company to potential prospects, or it can be a longer letter that gives a lot of detail about your company. Which style of personal letter you use largely depends on your goals and personal style.

Nevertheless, a well-written personal letter from you to your existing customers or future customers can do wonders for your company image. But there are a few things you want to keep in mind.

First, put it on letterhead. Just because it is a personal letter doesn’t mean you should veer from standard business practices. It is, after all, a business letter. Therefore, put it on your company letterhead. That will make a far bigger impression in the long run.

Secondly, choose your paper carefully. Don’t just settle for some 20-pound white bond. Go all out here. The extra couple of pennies you spend on high-grade paper will make a huge difference. By using the best paper possible for your letter you send a signal that you will not settle for run-of-the-mill materials, and neither should your customers.

Thirdly, make it personal. It is a business letter, but that doesn’t mean you shouldn’t talk directly to your customer in a friendly, personal way. This is actually a good thing. It will make your letter sound less like a sales letter and more like it was written by a human being.

Address your reader, if possible, by name; make it the first name, if you have it. Although, in some situations Mr. or Mrs. So-and-So might be more appropriate. If you are selling formal services like funeral services, for instance. But, in most situations, you want your customer or potential customer to view the letter as a personal, friendly address to them as an individual.

Your introductory paragraph should have a strong opening. You do want your customer to read it, don’t you? Then you must grab his or her attention in that first sentence. Don’t be overdramatic or hokey, but do come up with a creative way to spark an interest.

Finally, develop a strong close. You can have a great personal letter with a weak close and you will just have a well-written but ineffective personal letter. If you are selling a product, be sure to ask for the sale. If you are inviting your customer to a seminar or event, then do so boldly. Make it clear what you are asking for. Otherwise, you are telling your customer you don’t really want them to take any action.

Whether your personal letter is selling the next great widget, you are hosting a fabulous seminar or you are thanking your customer for being such a great customer, a well-written personal letter can make a big impression and do wonders for your company image. Use this tool as often as you can, but don’t over do it.

Internet Radio: Going Beyond Blogs as Another Mass Medium Gets Micro

The buzz is all about blogs this year, with thousands being
created every day. Websurfers have realized that anyone with
a bit of information, an opinion or an idea can attract an
audience–sometimes a very large audience.

But now blogs may not be the only mass medium that’s going
“micro.”

Here comes Internet Radio…

“It’s hard to believe,” says Randy Gilbert, host of “The
Inside Success Secrets Radio Show”–an Internet radio
broadcast which has been “airing” for several years. “Now
anyone with a computer, an internet connection and a
microphone can create an Internet radio program. And tt’s
not nearly as hard as most people think. You really don’t
have to be some kind of techno-geek to do it.”

A number of established media giants, like Entrepreneur
Magazine, already “broadcast” business-related programming
over the net. But it’s the opportunity for “the little guy”
to start producing programs that intrigues Gilbert.

Will Internet Radio Replace Blogs?

Blogs have “leveled the playing field” in the world of print
media. Some blogs have more daily readers than many medium-
sized metro newspapers.

Single individuals, sitting at home in front of their
computer in their pajamas, can compete with media giants in
the battle for the minds and hearts of hundreds of thousands
of websurfers.

Bloggers may have even had an impact on the last
presidential election.

Bloggers were the first to zero in on suspicious information
in CBS’ now-infamous story about President Bush’s military
record. The inaccuracies in the story, and the embarrassment
that followed, may have hastened the departure of Dan Rather
from the evening anchor chair.

“Lots of radio and TV news programs now regularly report
what’s being written in political blogs,” according to Chip
Tarver, an Internet expert whose business-to-business
publicity blog regularly appears at the top of many search
engine rankings. “Some cable network news shows even have
regular daily segments where they talk about what bloggers
are saying.”

Some experts have speculated if a similar phenomenon could
happen soon with Internet Radio: a traditional mass medium
which is becoming a “micro medium” as more and more people
are producing up their own Internet radio programs. But
Gilbert doesn’t think so.

“Internet radio will probably never become as popular or as
‘grassroots’ as blogging has become,” he says. “And you may
not have Internet radio stars who will compete with over-
the-air personalities like Rush Limbaugh or Bill O’Reilly.
But radio is a very conversational and intimate medium. You
can not only show people what you know, but you can also
give them a glimpse of who you are in a way that’s hard to
duplicate in a print interview. If you have something worth
saying, radio is a great vehicle for saying it.”

“Best of all,” he continues, “there’s practically no expense
involved. You can do it for pennies.”

Gilbert adds that online “micro-broadcasters” are finding
ways to add to the bottom line, like over-the-air stations.
“You can be extremely profitable with as few as five
thousand listeners,” he says.

The ‘Game’ Is Changing, Are You?

It’s happening. Again.

The Internet marketing ‘game’ is rapidly changing… again.

Email marketing is under attack like never before…

Pending legislation. Spam filters. Email overload.

Internet users’ inboxes are full. They are loaded with junk
and they are tired of the hassle. Opt-in rates are on the
decline — and they will continue to fall.

So the cries are coming from many Internet marketing
circles…

“Email marketing is dying — it’s only a matter of time.”

That’s right. Many people see Email marketing dying
completely. Many marketers are already positioning
themselves to do business without it.

Why are they preparing to do without it? Because it’s just
going to be too much of a hassle to get people to opt-in.
And if that’s not enough, it’s going to be such a hassle
to get around spam laws, filters, and other nuisances.

Well…

Do you want to know what *I’m* planning on doing?

I’M PREPARING TO MAKE MORE MONEY THAN
EVER FROM EMAIL MARKETING.

That’s right. I’m planning to make more money than
I already do with Email marketing.

(And I have some single lists that are generating 6-figures
a year in profit — automatically. And that’s just their
affiliate income; it has nothing do with my product sales.)

As more and more marketers RUN AND HIDE from
Email marketing, I am positioning myself to CASH IN
like never before…

And I’m suggesting you do the same.

But first, where are many marketers running “TO”?

As an alternative to Email marketing, many of them are
running to start BLOGS.

If you haven’t heard of it yet, “blogging” is basically like
keeping an interactive diary on a web site. It’s another way
to publish information on the Internet.

Blogs ARE a good marketing vehicle. In fact, there are many
people that are profiting quite nicely by running a blog.

You should check it out. He writes a lot of great stuff and it’s
fun to read the “comments” that some of the readers post

But let’s get something straight! Blogs are *NOT* going to
replace Email marketing. It’s not gonna happen.

I do think blogs ARE a great publishing tool for increased
exposure and can improve someone’s marketing, but
Email marketing still has many major advantages.

Without going into a long tirade about why Email marketing
is the ultimate marketing tool, I’ll just put it like this…

If your marketing message can be delivered to the same
place that a personal note from Grandma is, it’s more
effective than any alternative. I’ll just leave it at that.

So again, blogs aren’t going to replace Email marketing, but
they are a great *additional* marketing tool to use. Heck,
I’ll probably end up with a little blog for MarketingSecrets.com
sometime soon. Anything that brings you more exposure
(i.e. more prospects) is a “good” thing.

But back to Email marketing…

As it becomes harder and harder to use Email marketing
it represents a fantastic opportunity for marketers willing
to put in the extra WORK.

Gee, what a novel approach. The more WORK you do,
the more money you make.

If you haven’t figured it out yet, the people making the big
bucks online are some of the hardest working folks around.

That “work” usually translates into DIFFERENTIATION. Being
different from other marketers and competitors to separate
themselves from all the “noise” online.

But most people aren’t willing to do the extra work, and so
those that are end up making more money as a result.

Email marketing is going to be the exact same way.

Aside from having to comply with legislation (i.e. most likely
using double opt-in methods and keeping detailed records
of all subscriptions) and getting around spam filters, the
biggest challenge will be getting the opt-in.

Opt-in rates have been on a steady decline and it’s no surprise
as to why. People are just overloaded with email. In order
to get someone to opt-in to YOUR list, it’s going to come
down to the OFFER — the backbone of selling.

The Opt-in itself has evolved a lot in the past 14 years that
I’ve been marketing online. You used to be able to put up
a simple form that just said, “Get my newsletter” with no
other description and people would opt-in by the truckload.

It’s not that easy anymore — and it’s only going to get worse.

So how do you adapt? It’s easy…

SELL THE OPT-IN.

Now I don’t mean “sell” as in charge money for it. I mean
“sell” in relation to salesmanship and marketing. You need
to make your opt-in a compelling OFFER.

It’s going to become so hard to get people to freely opt-in
to your list or autoresponder course that you will really have
to WORK to get them to do it.

But before I go any further, I will say this. THE WORK WILL
REALLY PAY OFF. Mark my words. Marketers that ARE
able to successfully continue using Email marketing will
CLEAN UP in the near future and beyond.

(Because most marketers will stop using Email marketing
because of all the work involved.)

So What’s The Best Way To Get An Opt-In?

It’s simple. It’s called a SALES LETTER.

And, YES, I’m being serious.

Now, this sales letter doesn’t have to be very long, but all
the powerful elements of a typical sales letter need to be there:

1. A compelling benefit-driven headline.
2. Some descriptive text.
3. Intriguing bullets.
4. Testimonials.
5. An implied value.
6. A “bribe” or gift for taking the call to action. (Opting in.)

Now all of this seems like a lot of work. And it is, initially.
But once you create this page it will work by itself.

Again and again and again.

This page only has to be a couple scrollable pages in length.
You can create a very short version of this that will be very
effective.

So you will have a benefit-drive headline that is related to
WHAT THE HECK THEY WILL GET OUT OF joining your
list.

Then you will briefly describe why they should get it
and also use several bullets to illustrate this.

You should use a few testimonials from other happy subscribers.

You need to give it an implied value. You can do this by
saying, “This course is a $97 value.”

Then the most important part of all — A BRIBE. Offer a free
bonus gift if they opt-in right now.

You might be reading this thinking I’m off my rocker. I can assure
you, I’m not. In fact, I’ve been using this exact opt-in model
with several of my projects (non-marketing related) for nearly
two years now. This *IS* the future of the opt-in. Mark my words.

And here’s some else…

You’ll also find, like I have, that the more ‘effort’ it takes your
prospect to opt-in (such as reading a little sales letter) the
more RESPONSIVE they will be to offers from you. It’s a FACT
and I have several years of data to back it up. But the reason
for this is simple — they are more qualified by the time they
join your list.

Here’s How You Should Be Positioning Your Marketing…

Right now you are probably using pop-up or pop-over boxes
to capture opt-ins — whether on entry or on exit. You might
also be using a little opt-in form mixed in with content on
some of your web pages. CONTINUE to use them to collect
opt-ins. Keep using them until the opt-in rate drops so badly
that it isn’t worth wasting that precious online real estate
on your site.

But while you continue using these methods, and looking into
the future, you NEED to also setup a SEPARATE PAGE for
each opt-in list you’re building using the “mini sales letter”
model I have described above.

On all your opt-in boxes that you are currently using you can
have links such as “Click here to learn more…” or “Click here
to learn how to get a $197 gift today…” etc. etc. And those
links will go to this new sales letter opt-in page — because that
page WILL “close” (i.e.get them to opt-in) some people that
would not have joined from the small opt-in form you are currently
using.

Here’s another tip. Register a domain name specifically for
your list. When you send messages to your list, your “From”
address, unsub URLs, and everything else mentioned in those
emails will promote this domain name. If a subscriber ever
wonders what list they are on or why, they can always go
to that domain name. And what will they find when they get
there? The mini sales letter that sold them the opt-in. This
will reinforce their decision to KEEP their subscription.

So don’t run and hide from all the Email marketing challenges
that are appearing. EMBRACE THEM AND PROFIT.

Writing Articles to Gain Link Popularity and Increase Trust and Credibility - The Secret Most Overlo

As I look through my various forum links and review some of my
company email, I keep coming across questions relating to
generating inbound links to increase web site ranking. No matter
who you are, if you have a web site online you are always
looking for ways to improve your link popularity. While most SEO
practitioners will tell you that getting other related,
non-competing, websites to link to you should be high on your
priority list if you want better PR from Google or better
rankings, most web site designers miss the most obvious way to
get these valuable one way inbound links. There is a way to do
that plus generate additional content for your web site at the
same time. You can get those quality inbound links while
expanding your content which will bring the search engine
spiders to your web site more often. By following my
suggestions, you will be able to kill two birds with one stone,
and make your visitors happy while increasing your rankings and
making the spiders happy all at once.

Everyone is an expert at something.

It’s true, everyone has many years of experience at something.
Maybe you have been in a job for the past 20 years and know just
about every aspect of it, or maybe you’ve been making paper
airplanes as a hobby for just as much time. Either way, you have
20 years of knowledge about something that others could be
looking for information to read on those topics. Maybe you have
already built a web site taking advantage of that knowledge and
are looking to use it as a means to make a living, or maybe it’s
about a hobby and you want to make a living with that. Either
way, each of us has valuable knowledge that other people might
want. Why not take some time, sit down and think about your
business experience or hobby, and then write some “How To”
articles about it? If you have a web site that already uses that
hobby, or work experience, then it is a good way to add content
to your web site, and it’s also a good way to help you get those

Writing.

Let’s say you have 20 years of experience with a company where
the only thing you did was to conduct interviews to hire new
employees. Let’s further say you were so good at this that it
was the only thing your company wanted you to do. Because your
results were so good, it’s the only thing you did do. Maybe your
prospects always worked out and were some of the hardest and
most competent workers your company ever hired. You could write
some articles on how to interview job candidates to get the best
employees, or maybe write articles telling job seekers what
companies are looking for in their potential employees. If you
have a web site for job seekers, or a web site for learning how
to interview employees, you could then use the articles for
additional web site content. It’s already a known and proven
fact that the search engine spiders can be conditioned to visit
your site more often through your patterns of adding content.
The more often a site updates, the more often the spiders come
to visit. The more often they visit, the better chances that
your web site will begin to jump in rankings because it is
viewed as a fresh content site that updates frequently and would
be more valuable to visitors.

Some might think there are just some topics so vague or
uninteresting that it wouldn’t be worth writing anything in that
topic area, but the professionals know there are readers for
almost any topic area, and no one topic is to be avoided because
of poor readership. It all comes down to your writing style,
ease of reading, and your credibility. If you can write gripping
content that pulls your readers in and informs them, then it
doesn’t matter what you write about. In the end, the reader will
be looking for you and not your article. This is not something
that happens over night. It takes a lot of writing and a lot of
time to hone your skills to that point. It takes writing daily
and forcing oneself to try different topics. It’s good to start
out with what you like, but to become a professional and have
flexibility, you have to write about other things too. Not only

Speaking of those rankings, that reminds me of those one-way
links I spoke about earlier. After you write your article, you
can submit it to other places online which will post it to their
web site, offer it to other web sites as free content, or both.
Most of these places will allow you to submit your own
information for an “Author’s Box” or “Author’s Bio” area which
they publish at the bottom of each article. These are things
like information about you, your web site, and LINKS you can add
back to your site. There you go, instant high quality in-bound
links without the need to add the other web site’s link to
yours, no begging, no paying extortion amounts of fees for an
ad, just good old fashioned content to promote your own
abilities and web site. It’s the easiest way to get a one-way
in-bound link to your site IF you can develop your writing
skills and your content viewed as valuable to another web site.
If you write garbage, your information isn’t credible and is
full of factual holes, or your writing puts people to sleep,
then chances are that your articles aren’t going to do anything
more than waste your time. That’s why it’s critically important
to get into the habit of writing often and learning the flow of
your chosen language.

You see, the more you write, the more you train your ear to
listen to the written words, and the more you learn what
“sounds” right and what doesn’t quite seem to make sense. As I
write an article, I am talking within my mind while I write.
Yes, maybe I am a bit strange, but it works for me. I add my
intonations and elevate my voice for emphasis, and I try to find
ways to convey that in my writing. I’m no “expert”, but this is
what works for me, and I have a decent amount of articles
published, which means I must be doing something right.

writing style or the topics I cover. Maybe it’s just my
sincerity LOL. Hey, I do my best. I try to offer the facts and
ensure that I do my research before I write any article outside
my field of knowledge. Character helps to build a writer, and a

but you have to find ways to build credibility and trust.
Without those two things, nobody is going to read what you
write, and if they do, they aren’t going to be likely to click
on links back to your site. You have to get their attention and
compel them to want more of your writing. That’s what will make
your one-way inbound links even more valuable.

Articles.

OK, so now you have the knowledge to write articles and submit
them as a means to gain valuable one-way links to your web site,
what are you going to do with it? Are you going to sabotage your
own web site by failing to pay attention to the link you
formulate in the articles submitted? The more articles I read, I
tend to find a common error repeated by authors all over the
internet. Now granted, these are writers, not SEO specialists,
but this is just an example where it pays to round out your
knowledge in many areas of web site promotion, ranking, and
design. The BIGGEST mistake I see authors make when attempting

services. It corresponds to one of the services we offer, and
it’s the most popular search-term people use when searching for
that type of service. Let’s say I write an article talking about
web site design. The next article I write on web site design
will include the company name, Sanders Consultation Group Plus,
but it will also include the term “web site design” linked to
the page we have recently optimized for our web site design
services. As I already said earlier, this is such a simple
concept that most people often overlook, and it can be a
detriment to your link popularity goals. And as we optimize each
area of our site, I will continue to write articles based on the
area keywords and phrases, and will then place links in my
Author’s Box to link back to those optimized pages.

It’s a reported fact that one-way in-bound links are worth more
than reciprocal links. However, for many web site designers and
webmasters, the ways to gain them has been somewhat elusive.
Many fear that imparting their knowledge will give competitors
an edge over the writer’s own business. What most fails to
consider is the number of people that start out as the “do it
yourselfer” and then realize there is more work than they
intended to do. When they find your articles, you become a
source for them to get their work done without their need to
invest large amounts of time on the project. This is where the
benefits of article writing will pay off, especially if you gain
credibility and trust through your readers. Even if a competitor
does notice one of your articles, sometimes they can be so
impressed and overwhelmed that they’ll write things about you,
include links to you, and you still come out on top. I’ve seen
it happen before. Someone reads something so profound that it
changes his or her life. They tend to tell others about the
change and how the change occurred.

Articles are a valuable way to get recognition, gain reputation
and credibility while increasing your link popularity. Done
wrongly, and it will do nothing but increase your reputation and
credibility. Done correctly, and it can raise your ranking
popularity and bring you added customers on top of the other
benefits. Take the time to learn how to write effectively. Write
daily and learn the flow of your chosen language. Write
truthfully and credibly. Make sure to give provable facts while
keeping the hype to a minimum. Use keywords in your Author Boxes
and find highly trafficked sites to submit to. Learn to write in
such a way that engages your readers’ minds and makes them want
to read more of your writing. If you can do all this, not only
will you become a trusted expert, but you will also gain
increased traffic to your web site and leverage your web site
income goals through increased link popularity and higher search
engine rankings. At the least, it will give you plenty of
content to update your web site and increase search engine
spidering.

Marketing to the Affluent - with Wine

With its association to an affluent, sophisticated lifestyle, wine can make a good accompaniment when marketing to an affluent audience. However, I am not talking here about ordering expensive wine at a client diner. Wine can be used more creatively and productively to connect to this target audience.

For example, wine proved to be a powerful marketing element for a startup magazine targeting an audience that is personally affluent and controls an enormous amount of money.

BuySide magazine is a publication for institutional investors and money managers. When it was first conceived, it had to overcome what seemed to be a big drawback. Its founder, Gordon Holmes, lived in Sonoma, California, and insisted that the magazine be based near his home, far away from both the financial and media centers in New York.

In discussions with Holmes, I discovered that Holmes’ insistence on basing his operations in Sonoma was not just a whim or a wish to have a short commute to work. It turns out that five generations of his family had been involved in California agriculture and he was passionate about California wine and wine-growing.

I made a decision to turn BuySide’s remoteness from financial and media centers of action into a positive. His location in California’s wine country would become part of the magazine’s positioning.

The first step was to create a private label BuySide Wine. In a deal with local wineries, we were able to source a sufficient amount of BuySide Merlot and Chardonnay. A special wine bottle label was designed to reflect the unique story of this boutique wine.

Next, a direct mail campaign was developed using wine as a theme and Buyside wine as a premium. The campaign was aimed at advertisers and companies that wanted to reach the magazine’s audience of institutional investors.

The chief element of the direct mail campaign was a brochure. The reader was immediately confronted with a stark, bold headline on the front of the brochure:

“WHERE DO YOU GO TO TALK TO INVESTORS WITH $TRILLIONS TO INVEST?
When the brochure was opened, the inside headline provided the answer:
“TO THE WINE COUNTRY”

On the left side of the inside page, we developed a fanciful photo that conveyed the message we wanted: In the photo, Holmes was wearing a suit and holding a cellphone, sitting at a desk which had a computer on top of it, in the middle of a winery. Next to the desk was a street sign that said “Wall Street.” The other side of the page told the story of Buyside and how it reached this affluent, influential audience of institutional investors. The copy also directed readers to an offer in the back.

As part of the offer, companies that responded to the mailing would receive a free bottle of BuySide winewhite or red.

The mailing and promotion powered the magazine to success far ahead of schedule. But wine proved to be more than a launching pad in a direct mail campaign. It became part of the magazine’s positioning, separating it from the competition. The wine angle proved powerful for years to come. At money management conferences, where wine was given out at BuySide’s booth, people would come into the conference and ask ‘Where are the wine guys?” Everyone knew what they meant.

While developing a private label wine may not be for everyone, there are other ways to use wine creatively in affluent marketing. Wine tastings, and food and wine get-togethers have been used successfully by professionals seeking to market their services to an affluent audience. But like wine itself, it takes taste and sophistication to make it work.
